What will you do

This role supports the full lifecycle of project delivery through effective document control, coordination tasks, and logistical support. The role ensures that project information is organised, accessible, and compliant with internal standards, while also providing practical assistance to project managers, clients, and stakeholders. This position helps maintain smooth operations across administrative, technical, and on-site activities.

In addition, the position contributes to the smooth day-to-day operations of the team by supporting coordination, communication, and engagement activities.

 

  • Maintain organised project filing systems and manage document control
  • Prepare and upload project documents on SharePoint and related platforms
  • Coordinate logistics like travel, workshops and site visit arrangements
  • Manage calendars and logistics
  • Handle office supplies, vendors, and basic office coordination
  • Organize files and maintain document repositories
  • Prepare documents and presentations
  • Support contract administration, procurement tracking
  • Assist with project closure, contracts, procurement tasks and document tracking
  • Support the department in organising team activities, workshops, and engagement initiatives
  • Assist in coordinating internal events, team-building activities, and department initiatives
  • Provide day-to-day administrative support and coordination for the team.

As our new Project & Office Administrator, you will become part of the Mobility & Infrastructure team in Vietnam.

What you bring

This role calls for someone organised, proactive and reliable, with the ability to handle detailed documentation while supporting multiple project tasks. Strong communication and teamwork are important because the position interacts daily with project managers, clients and partners. A flexible, solution-focused mindset helps keep projects running smoothly.

 

  • At least five years of experience in project assistance or document control to ensure familiarity with structured workflows and documentation processes
  • Good command of English to support communication with international clients and colleagues
  • Proficiency in Microsoft Office and data platforms like SharePoint, OneDrive and BOX for preparing, storing and managing project documents
  • Basic understanding of construction or planning project environments so project procedures and terminology are well understood
  • Knowledge of document control or Common Data Environments to maintain organised, compliant records throughout the project lifecycle.
