This role gives you the opportunity to be at the centre of project operations, ensuring documentation, communication, and site administration processes run smoothly and efficiently. You will work closely with project teams, supporting day-to-day activities and helping maintain an organised and collaborative project environment. This role is ideal for someone who is detail-oriented, proactive, and enjoys coordinating multiple tasks while contributing to successful project delivery.

What will you do

Document Controller

  • Receive, distribute, arrange, store, retrieve and manage correctly all the construction quality management documents including, but not limited to, letters, emails, calculation reports, drawings, comment sheets, comment response sheets between Client / Consultant /Contractor /3rd parties.
  • Check the documents from Contractor / third parties in terms of format, form, revision, arrangement to make sure they are in conformity with the project’s requirements.
  • Assure that the process of receiving, distribution, arrangement, storage, and management of the documents is in line with the Internal Responsibility Matrix and approved procedures. The documents must be transferred to the correct persons and/or disciplines as the project stipulated.
  • Archive the documents in the form of hard / electronic copies as well as keep track of different revisions and approval status of documents.
  • Provide support in project document control report, when required.
  • Support the preparation of documents, minutes of meeting, office equipment for project meetings.
  • Arrange, store, and manage the Project team’s documents.

Site Admin

  • In charge of administrative tasks such as supporting meal register, ordering PPE, stationery, preparing monthly site attendance record.

What you bring

  • Fairly good in English with both writing/translating and communication is required.
  • At least 2-3 years' relevant experience handling construction quality management documents and project information in the building industry.
  • Ability to organize and manage large volumes of both printed and electronic documents.
  • Be able to liaise with other parties to request information or to respond to their inquiries.
  • Be able to meet requests for information in an accurate and timely manner.
  • Having experience in utilizing Building Information Modelling (BIM) construction management software such as BIM, Asite, Dalux, Aconex, using/establishing and maintaining Document Log for both hard copies & soft copies.
